About ACE Review
What is ACE Review?
+ACE Review is a professional evidence documentation service that transforms raw medical records, employment files, and supporting documents into structured, defensible evidence narratives. We apply forensic documentation standards and cybersecurity protocols to ensure your evidence meets the highest standards of integrity and admissibility.
Think of it as a professional evidence audit that identifies gaps, validates consistency, and organizes your documentation for maximum credibility—whether you're filing a VA disability claim, personal injury case, or administrative appeal.
What exactly do I receive with ACE Review?
+Your ACE Review package includes:
- Chronological Evidence Timeline: Every medical encounter, employment record, and supporting document organized by date with source citations
- Evidence Integrity Analysis: Identification of gaps, inconsistencies, or missing documentation that could weaken your claim
- Regulatory Mapping: Correlation between your evidence and applicable regulations (38 CFR for VA claims, state statutes for legal cases, etc.)
- Lay Statement Framework: Professional outline showing what additional first-hand accounts could strengthen your evidence
- Chain of Custody Documentation: Complete tracking of all documents processed with SHA-256 hash verification
All deliverables are provided in professional PDF format with full source citations and metadata preservation.
Are you a medical expert or attorney?
+No. ACE operates as an evidence documentation specialist, not a medical or legal advisor. We do not provide medical opinions, diagnoses, legal advice, or case strategy.
Our role is to organize, analyze, and document the integrity of your existing evidence. We identify what's there, what's missing, and how it aligns with regulatory requirements—but we never tell you what medical conditions you have or what legal arguments to make.
This distinction is important: we focus on evidence quality and compliance, which is exactly what claims examiners and legal reviewers need to see, without crossing into medical or legal practice.
How is ACE Review different from a VSO or attorney?
+ACE Review complements the work of Veterans Service Organizations (VSOs) and attorneys—we don't replace them:
- VSOs and Attorneys: Provide representation, legal strategy, and advocacy. They argue your case and navigate the system on your behalf.
- ACE Review: Provides the professional evidence foundation they need to build their case. We ensure the documentation is complete, organized, and regulation-compliant before it reaches the decision-maker.
Think of it this way: an attorney is the architect who designs your legal strategy. ACE Review is the structural engineer who ensures the foundation can support that strategy. Many of our clients work with both a representative and ACE to maximize their chances of success.
Do you guarantee my claim will be approved?
+Absolutely not. Anyone who guarantees claim approval is misleading you. Final decisions rest with the VA, insurance companies, courts, or other adjudicators—not with evidence analysts.
What we do guarantee is that your evidence will be professionally documented, thoroughly analyzed for integrity, and organized to meet regulatory standards. We ensure you're not losing on technicalities or missing documentation.
Our 87% client success rate reflects the quality of evidence preparation, not our ability to control outcomes. Strong evidence doesn't guarantee approval, but weak evidence almost guarantees denial.
Process & Timeline
How does the ACE Review process work?
+Our process follows a structured five-step methodology:
- Step 1 - Secure Upload: You upload your documents through our HIPAA-compliant portal with 256-bit encryption
- Step 2 - Evidence Intake: We catalog and hash-verify every document for chain-of-custody integrity
- Step 3 - Chronological Analysis: All evidence is organized by date with source citations and cross-references
- Step 4 - Regulatory Correlation: Your evidence is mapped against applicable regulations and requirements
- Step 5 - Report Delivery: You receive your complete ACE Review package with all findings and recommendations
Throughout the process, you'll receive status updates and can communicate securely through the portal.
How long does ACE Review take?
+Turnaround time depends on your selected service tier:
- Evidence Consolidation ($497): 5-7 business days for up to 300 pages
- Standard ACE Review ($995): 7-10 business days for up to 500 pages
- Priority ACE Review ($1,495): 3-5 business days for up to 500 pages, plus phone consultation
These timelines begin once we receive all your documentation and confirm payment. For cases exceeding these page counts, we'll provide a custom timeline estimate.
What documents do I need to provide?
+We need any documentation relevant to your claim or case:
- Medical records (VA, private providers, emergency room visits, etc.)
- Service treatment records (STRs) or military personnel files
- Employment records and personnel files
- Previous claim decisions or appeals
- Buddy statements or personal declarations
- Diagnostic test results, lab work, imaging reports
- Any other supporting documentation
Don't worry about organization—that's our job. Upload everything you have in whatever format you have it (PDF, images, paper scans). We'll sort it all out during the evidence intake phase.
Can you help me obtain my medical records?
+We provide guidance on how and where to request records, but we don't directly obtain medical records on your behalf. This is because:
- HIPAA requires you (or your designated representative) to authorize record releases
- Many providers only release records directly to the patient or their attorney
- The process varies significantly by provider and jurisdiction
However, we can provide you with sample request letters, point you to the right offices, and explain what records are most important for your specific case. Once you receive them, we handle all the organization and analysis.
What happens after I receive my ACE Review?
+After receiving your ACE Review, you have several options:
- File independently: Use the evidence package to submit your claim or appeal yourself
- Work with a representative: Share the ACE Review with your VSO, attorney, or claims agent as a foundation for representation
- Request clarification: All tiers include follow-up questions via secure portal (Priority tier includes phone consultation)
- Gather additional evidence: Use our recommendations to obtain missing documentation before filing
We remain available for questions about the report itself, but ongoing claim representation or legal advice must come from an attorney or accredited representative.
Pricing & Payment
Why do you charge upfront instead of contingency?
+ACE Review operates on a fee-for-service model rather than contingency because we provide professional evidence analysis, not outcome-based representation. Here's why this benefits you:
- Ethical clarity: Our compensation isn't tied to your decision outcome, so our analysis remains objective
- No conflicts of interest: We document evidence integrity regardless of whether it strengthens or weakens your claim
- You retain control: Use the ACE Review however you choose—file independently, work with multiple representatives, or wait
- Lower total cost: Upfront fees ($497-$1,495) are significantly less than typical contingency percentages (20-33% of benefits)
Attorneys and representatives work on contingency because they provide ongoing advocacy. We provide evidence analysis—a one-time deliverable with upfront value.
Do you offer payment plans?
+Yes. We offer flexible payment options to make professional evidence analysis accessible:
- Pay in full: Single payment via credit card, debit card, or ACH transfer
- Split payment: 50% deposit to begin, 50% upon delivery (available for Standard and Priority tiers)
- Third-party financing: We can provide payment plans through third-party financing partners for qualified applicants
Payment plan availability may vary by service tier and case complexity. Contact us to discuss options for your specific situation.
What if I have more than 500 pages of records?
+Standard service tiers accommodate up to 500 pages. For larger document volumes, we provide custom pricing:
- 501-1,000 pages: Additional $300-$500 depending on complexity
- 1,000+ pages: Custom quote based on scope review
Upload all your documents through our portal, and we'll review the volume and complexity before providing a final quote. There's no obligation—if the price doesn't work for you after the scope review, we'll return your documents with no charge.
Do you offer refunds if I'm not satisfied?
+We stand behind the quality of our work with a clear satisfaction policy:
Before we begin analysis: If you decide to cancel after document upload but before we start the analysis phase, we'll refund your payment minus a $99 administrative fee.
After analysis begins: Once we've started the evidence analysis, our work is non-refundable because the time and expertise have been invested. However, if you find errors or omissions in the deliverable, we'll correct them at no additional charge.
Quality guarantee: If we miss documents, make factual errors, or fail to deliver what was promised in your service tier, we'll fix it immediately.
We encourage you to review our sample reports and ask questions before purchasing to ensure ACE Review meets your needs.
Security & Compliance
How do you protect my sensitive information?
+ACE employs federal-grade security protocols developed from 17 years of Department of Defense cybersecurity experience:
- 256-bit AES encryption: All data encrypted in transit and at rest
- Zero-knowledge architecture: Your documents are encrypted before they leave your device
- Access controls: Role-based permissions ensure only authorized personnel access your files
- Audit logging: Every document access is logged with timestamps and user identification
- SHA-256 hash verification: Cryptographic proof that documents haven't been altered
- Secure deletion: Military-grade data wiping when you request file removal
Our security standards meet or exceed HIPAA, FERPA, and DoD requirements for handling sensitive personal information.
Are you HIPAA compliant?
+Yes. ACE maintains full HIPAA compliance for handling Protected Health Information (PHI):
- Business Associate Agreements (BAA) executed with all service providers
- Annual HIPAA compliance training for all personnel with PHI access
- Administrative, technical, and physical safeguards meeting 45 CFR Parts 160 and 164
- Breach notification procedures in compliance with HITECH Act requirements
- Regular security audits and vulnerability assessments
When you use ACE Review, you're engaging a HIPAA-compliant business associate. We'll provide a BAA upon request before you upload any documents.
Who has access to my documents?
+Access to your documents is strictly limited and logged:
- You: Full access to upload, view, and download your documents at any time
- Assigned analyst: Your case is assigned to a single Evidence Chain Analyst who performs the review
- Quality control: A senior analyst may review work for quality assurance purposes
- System administrators: Technical staff may access encrypted systems for maintenance (cannot view document contents)
No one else—including other ACE clients, third-party vendors, or our subcontractors—can access your documents without your explicit written authorization. All access is logged with timestamps and user identification for audit purposes.
How long do you keep my documents?
+Our data retention policy balances your privacy with practical needs:
- Active engagement: Documents retained during service delivery and 30 days after for follow-up questions
- After 30 days: You can request extended storage (up to 1 year) or immediate secure deletion
- Default retention: If no action taken, documents are automatically deleted 90 days after project completion
- On your request: Immediate secure deletion available at any time via portal or email request
Deletion uses DoD 5220.22-M standards (7-pass overwrite) to ensure data is unrecoverable. We provide deletion confirmation upon request.
Can I request my data be deleted?
+Absolutely. You have the right to request deletion of your data at any time:
- During service: You can cancel and request deletion before analysis begins (subject to refund policy)
- After completion: Request deletion of all documents and working files at any time
- Partial deletion: You can request removal of specific documents while retaining others
Important limitation: We must retain basic transaction records (invoice, payment information, signed agreements) for accounting and legal compliance purposes. These records do not include your medical or sensitive personal information—only proof of service and payment.
To request deletion, simply email us or use the "Request Data Deletion" feature in your portal. We'll confirm deletion within 5 business days.
